DQF PORTAL Privacy Policy

This Privacy Policy explains how DQFportal.com (“DQF PORTAL,” “we,” “us”) collects, uses, and protects information when you use our driver qualification management portal.
2. Information We Collect
Because our Service involves federal compliance recordkeeping, we collect:
- Carrier Information: Company name, DOT Number, contact details, and administrator credentials.
- Driver Qualification Data: Information required by 49 CFR Part 391, including driver names, dates of birth, Social Security Numbers, Driver’s License (CDL) numbers, driving history, and medical examiner certificates.
- Document Images: Uploaded copies of licenses, medical cards, and road test certificates.
- Billing Information: Payments are processed by Stripe. We do not store full credit card numbers or CVV codes.
3. How We Use Information
We use this information strictly to:
- Operate the DQF portal and maintain compliance records for your company.
- Generate required FMCSA-compliant documents (e.g., Annual Review of Driving Record).
- Notify you of upcoming expirations (Medical cards, CDLs, etc.).
- Process payments and provide technical support.
- We do not sell driver data or carrier information to third parties.
4. Data Security & Sensitive Information
Given the sensitive nature of SSNs and CDL data:
- Encryption: We use industry-standard encryption (SSL/TLS) to protect data in transit and at rest.
- Access Control: Access to driver data is restricted to authorized users under your carrier account.
- No Absolute Guarantee: While we use robust safeguards, no system is 100% secure. You are responsible for maintaining the security of your account passwords.
5. Information Sharing
We share information only in limited circumstances:
- Service Providers: With vendors who help us provide the service (e.g., Stripe for payments, cloud hosting providers).
- Legal Requirements: When required to comply with a subpoena, court order, or DOT/FMCSA audit request directed to you.
- Authorized Third Parties: If you explicitly direct us to share data with a third-party service (e.g., an insurance underwriter or MVR provider).
6. Data Retention & Deletion
- Retention: We retain DQF data for as long as your subscription is active.
- Compliance Warning: Per FMCSA regulations, certain driver records must be maintained for specific periods (e.g., 3 years). You are responsible for exporting and preserving these records if you choose to cancel your account.
- Deletion: Upon request and subject to legal retention obligations, we will delete personal information from our active databases.
7. User Responsibilities & Consent
By uploading driver information, you represent that:
- You have obtained the necessary consent and authorization from the driver to store their sensitive personal information (including SSNs and medical data) on our platform.
- You are responsible for the accuracy of the data uploaded.
8. Children’s Privacy
The Service is intended for professional use by motor carriers and is not directed at individuals under 18.
9. Changes to this Policy
We may update this policy to reflect changes in privacy laws or FMCSA requirements. We may notify you of significant changes via email or in-app notification.
